Job Description:
SCOPE OF POSITION:
Responsible for researching, identifying and assisting Grant
Writer(s) with every aspect of
grant applications/proposals to meet the needs of the Salvation
Army HIPAC Division. In
addition, the Grant Administrator is responsible for working with
Corps Officers to capture
metrics, manage grant spend down and gather required information
for grant reporting
related to grant award requirements.
Grant Administrator General Duties and Responsibilities:
--- In cooperation with Director of Development, Partnership
Development Director,
Grant Writer(s) and Officers, create funding plans based on the
specific needs of The
Salvation Army HIPAC Division.
--- Conduct research on issues and community needs that align with
the Salvation Army
HIPAC's mission, priorities, and projects to support the need
communicated in LOI's
and proposals.
--- Research and identify relevant sources of grant/contract
funding opportunities for
the organization that align with the agency's goals and mission,
projects, and
objectives.
--- Review, submit, and manage the grant proposal application,
award and reporting
process including but not limited to, organizations and private
foundations. This
includes assuring Corps Officers, Program Directors, Finance and
Development have
the capacity to manage and fulfill grant requirements, preparing
presentation
materials and contract amendments/renewals and organizing and
obtaining all
materials needed for a complete and timely submittal that may
include current legal
documentation, budgets, certifications, licenses, insurance
certificates and other
documentation.
--- Serve as the primary contact for Corps Officers, Program
Managers, Providers, and
HIPAC Leadership for all tasks relating to grant funding
opportunities for all HIPAC
Salvation Army Corps.
--- Serve as project coordinator for post-award reporting
requirements, ensure contract
reporting for all grants in partnership with Corps Officers,
Development, Finance and
Program staff.
--- Prepare and update government funding pipelines for Salvation
Army HIPAC
programs by researching RFPs and NOFAs, application submittal
requirements and
awards by amount, date, and purpose.
--- Submit grants to DHQ for legal review, processing and approval
through TSAMM.
Work with Property and Finance Manager to track grant-funded
expenses and
monitor budget compliance.
--- Develop and maintain a strong working knowledge of the
different Corps and
various programs throughout the Division to understand operations
and better assist
with finding appropriate funding opportunities.
--- Assist in the coordination with Corps officers/Program
Directors to implement new
processes from Grantors that are relevant to contractual
matters
--- Review all grants to ensure accuracy, spend down and completion
with all required
exhibits.
--- Communicate with Director of Development, Program Directors,
Corps Officers,
grantors and sites regarding program changes, financial matters,
budget
modifications, addendums, extensions, non-compliance, and
renewals.
--- Assist in maintaining paper and/or electronic files; Maintain a
monitoring system to
track the status of all grants
--- Attend monthly meetings with Grant Writer(s)
--- Attend monthly Corps Needs & Grants Meetings
--- Attend webinars, collaboration meetings, and trainings related
to contractual subject
matter
--- Assist with the completion of annual and quarterly government
grants
reports/certifications
Compliance General Duties and Responsibilities:
--- Communicates compliance requirements to Program Directors,
Corps Officers and
Contracts and Property Services Department who are then responsible
to assure
meeting compliance requirement.
--- Remain abreast of all compliance changes, activities and
identify trends;
communicate appropriately with staff concerning policies,
procedures, and updates.
--- Oversees all grants and ensures all are consistently aligned
with program budget
throughout the grant/funding period.
--- Work with Development Donor Database Director to create and
maintain proper
donor database coding for funding awards.
--- Design and execute monitoring processes, including conducting
file audits,
assessments, documenting results and analyzing data trends.
--- Maintains documentation of all grants in collaboration with the
program and
business staff.
--- Work with the Property and DHQ Finance Department to maintain
grants expense
budgets and analyze accounting to ensure accuracy.
--- Serves as liaison between granting entity and the Salvation
Army HIPAC Division.
--- Participate in staff meetings and development activities.
--- Submits invoices for grant reimbursement.
--- Prepare and maintain Grants notebook.
--- Performs other duties as directed by supervisor.
Education and Work Experience:
--- Minimum of a bachelor's degree in the field of Business,
Accounting, Grant
Administration or in a related field
--- Minimum three years of Finance and/or Grants experience
preferred
--- Project oversite and development experience preferred
