Administrative Assistant (Japanese Speaking) Job Description The Administrative Assistant (Japanese Speaking) performs a variety of administrative support tasks and duties to assist in the day-to-day activities of the International Sales Department. This position will also handle a wide range of administrative and executive support-related tasks and work independently with little or no supervision, while being proactive, resourceful, and efficient, with a high level of professionalism and confidentiality. What will I be doing? As an Administrative Assistant (Japanese Speaking) you would be responsible for executing your position's responsibilities in alignment with our Spirit of Service culture and driving company success through performing the following tasks to the highest standards: Develop a general understanding of the business in order to provide administrative assistance and support Demonstrate excellent interpersonal communication skills and confidentiality in the handling of incoming telephone calls and correspondence Demonstrate strong organizational skills in a fast-paced work environment Ability to take and transcribe minutes Maintain a professional appearance and attitude Provide executive level support with interdepartmental management and serve as a sales liaison Demonstrate basic computer skills in Microsoft Office Word, Outlook, Powerpoint, and Excel applications Schedule appointments and meetings Arrange travel and administer expenses Maintain an orderly office filing system, file, fax, photocopy and distribute mail as required Anticipate needs of leadership and take appropriate action Carry out all reasonable requests by management of which the employee is capable of performing Responsible for implementing/maintaining sales office tasks including, but not limited to: scheduling, time keeping updates, collateral inventory, ordering office supplies, mailing duties, and team member liaison Printing and collation of required daily reports for executive team Creating and implementing project-driven administrative needs including, but not limited to: presentation items, equipment ordering, meeting planning Able to create and process internal and external memos including, but not limited to: announcements, incentives, public releases, notifications, action plans, etc. Qualifications What are we looking for?Hilton Grand Vacations is a leader in the vacation ownership industry, operating with an unwavering commitment to innovation, quality, and continued growth. To fulfill this role successfully, you must possess the following minimum qualifications and experience: 2+ years of clerical and/or office work experience 1+ year(s) of experience in a customer service role Ability to interact and communicate successfully with all levels of customers/guests, managers, and executives Strong interpersonal skills and attention to detail Able to work a flexible schedule, including evenings, holidays, and weekends Ability to read and write in both English and Japanese High school diploma or equivalent It would be advantageous in this position for you to demonstrate the following capabilities and distinctions: 3+ years of clerical and/or office work experience 3+ years of sales/marketing experience in timeshare Proven ability to resolve customer service related issues in a timely manner
