JOB/POSITION TITLE: Facilities ManagerSTATUS: ExemptPRIMARY
PURPOSE:Directly lead, develop, oversee and evaluate the Facilities
Program for the Hawaiian Humane Society which includes management
of all facilities, grounds, contractors/vendors, and equipment
maintenance for the organization's campuses to ensure optimal
operations, safety and appearance.Reports To: Director of
OperationsSupervises: Facilities team members and
volunteersESSENTIAL DUTIES/FUNCTIONS:Facilities Maintenance.
- Ensures that all buildings are in good and safe working
condition and appearance. Manage maintenance, repairs,
installations, and refurbishments.
- Regularly Inspect buildings' structures to determine the need
for repairs or renovations
- Monitor the safety and cleanliness of interior and exterior
areas, such as offices, conference rooms, parking lots, and other
outdoor spaces
- Perform routine maintenance on facilities and make repairs as
needed
- Schedule routine inspections and emergency repairs with outside
vendors
- Prepare facilities for changing weather conditions including
severe weather emergencies
- Perform and/or delegate carpentry, plumbing, electrical,
welding, painting, and masonry repair as needed.Management and
Supervision
- Supervise all facilities staff and volunteers
- Manage external contractors' performance and fulfilment of
quality and scope of work agreements including but not limited to
janitorial services, landscapers, electrical, plumbing and most
construction contracts
- Delegate cleaning and maintenance tasks to team members
- Plan and supervise volunteer tasks and projects
- Create reports on maintenance and repairs
- Review and set appropriate priority and time parameters for
maintenance requestsGrounds Maintenance.
- Ensure proper upkeep of grounds, landscape, and other public
areas.
- Manage timely and proper garbage/trash removal
- Manage cleanliness and accessibility of all egress
areasFinancial
- Plan long term capital projects and forecast expenses
- Prepare, adhere, and report on annual facilities budget
- Review utilities consumption and strive to minimize costs
- Periodically review facilities and maintenance contracts for
value and effectiveness.
- Prepare RFPs and review proposalsSupplies Management.
- Move, pick up, deliver, and store equipment and supplies.
- Clean, maintain, organize, reorder, and deliver supplies as
needed to perform duties.Equipment and Machine Maintenance.
- Ensure that all equipment is in safe, working condition,
organized, maintained and stored securely.Vehicle Maintenance.
- Responsible for vehicle care and routine maintenance
- Ensure registration renewals and safety checks are up to
dateWORKING CONDITIONSWork Environment: Outdoors and indoors as
needed.Equipment Use
- Power equipment (e.g. lawn mower, weed cutter, welder,
chainsaw, drill, table saw, etc.), hand tools (e.g. hammer, pliers,
shovel, rake, etc.), shelter vehicle, ladders, cell phone and
telephone systems. Use of all sheltering-related animal equipment
including tools for containing animals humanely, safely and
securely.
- Other Materials: Commercial kennel disinfectant, cleaning
solutions, paint, herbicides, pesticides and other materials as
required.
- Hours: Based on operational requirements. Must be available
full-time and available to work over 40 hours, as needed, any 7
days of the week, weekends and holidays.MENTAL, PHYSICAL AND
COMMUNICATION DEMANDS:
- Requires lifting and carrying up to 50 pounds.
- Requires eye-hand coordination, alertness, and attention to
detail in operating power and manual tools in repairing and
maintaining equipment, grounds and facility.
- Requires crawling, bending, reaching, pulling, grabbing, and
turning when operating power and manual tools and other functions
in repairing and maintaining equipment, grounds and facility.
- Must have no limitations to prevent handling or working with
all animals.SKILLS/KNOWLEDGE:
- Must have access to own automobile and proof of no-fault
insurance.
- Comprehensive knowledge of motors, small appliances, power
tools, hand tools, carpentry, electrical repair, masonry, painting,
plumbing repairs and landscape maintenance.
- Must pass a driving background check with a valid driver's
license and acceptable driving record according to organizational
policy.
- Education/Training: High school diploma or equivalent
preferred.
- Experience: Two years of maintenance experience required. Two
years of supervisory experience preferred.The above information on
