Trane has a new exciting opportunity to join our organization
as a Project Administrator in our Pacific Southwest
Region Contracting group, based out of our Honolulu, Hawaii
Commercial HVAC Sales & Service office.
Under direct supervision, this position is responsible for
routine project documentation, materials, job costing, status
monitoring, invoicing, and administrative closeout of each project.
This position is required to closely interact with customers,
Project Managers and other assigned project staff to ensure the
timely completion of each project.
Responsibilities include the following and other
duties may be assigned:
Oversee projects to ensure contract compliance and successful
Responsible for general administrative functions to support
the fulfillment process.
Enter purchase orders and receipt purchase orders; follow-up
with vendors to obtain missing purchase order #s.
Administers subcontractor documentation, including master
agreement, work orders and other documentation as needed.
Initiate invoicing process and coordinate format, layout,
attachments, and mailing with Shared Financial Services.
Coordinates with various staff for accurate and timely
recording of project costs, including time sheets, daily reports,
Reviews billing backlog and coordinates/communicates with
Project Managers, BAS and HVAC Field Technicians, customers, and
Trane Corporate office as necessary to resolve obstacles.
Responsible for generating, interpret, and print various
High School diploma or GED and up to two (2) years of related
experience and/ or training; or equivalent combination of education
Must have construction industry experience.
Must have strong communication skills, proactive approach with
willingness to work independently as well as part of a team.
Knowledge of prevailing wage requirements is an asset.
This role will work with a virtual team in addition to being
in the office. Strong communication and computer skills are
Proven experience prioritizing tasks in order to meet tight
deadlines within a high-paced environment.
Previous experience with financial systems and basic
accounting is a requirement.
Construction law and regulation knowledge is an asset.
Familiarity with the operation of HVAC Systems preferred not
