Job Description:

Kama'aina Kids is a multi-service, non-profit organization whose mission is to serve children and their families by providing quality programs with quality care. The purpose of these programs is to encourage the development of self-esteem, social skills and individual self-confidence of everyone involved.
Some of the programs conducted are the A+ After School Program, Enrichment Programs, one & two day Holiday Care Programs, Winter Break Programs, Spring Break Programs, and Summer Programs.
The Site Coordinator position is a nine-month contracted position. The Site Coordinator's responsibilities include, but are not limited to the coordination of an A+ After-School Program and Holiday Care Programs. Optional responsibilities include but are not limited to: the coordination of a Winter Break, Spring Break and/or Summer site.
A. The A+ After-School Program - The State of Hawaii set up the A+ Program in February of 1990 to meet the needs of "latch-key" children and their parents. Every public school must run an A+ Program as long as there is sufficient need from the parents in that community. The school principal then has a choice of hiring his/her staff to run the program or to contract the program out to a child caring organization such as Kama'aina Kids. In this program, the student to staff ratio should not exceed 20 to 1. Group Leaders directly supervise and plan activities for the children in their group.
The Site Coordinator, in reference to the A+ Program, is responsible for the planning, organizing, implementation and promotion of his/her after school program. The Site Coordinator's specific duties may include, but are not limited to the following:

  • To study, analyze, and become thoroughly familiar with all aspects of the after-school program and develop specific program objectives including process and outcome objectives and related criteria for program achievement.
  • To implement Kama'aina Kids standard administrative procedures and practices for the program.
  • To plan a program of after-school services and activities for the site.
  • To establish contacts within the community, particularly as they relate to program articulation and promotion in order that maximum community involvement/awareness can be achieved and maintained.
  • To serve as liaison between the school, parents, community, district office, district director and other agencies, etc.
  • To assist with recruitment, screening & interviewing of applicants for Group Leader positions.
  • To provide overall supervision, direction, and guidance of the after-school staff.
  • To establish, manage, and operate the after-school services educational component and other program activities.
  • Coordinate after-school services and activities with appropriate DOE school and district personnel, and complex supervisor (regarding facilities, security, equipment, supplies, materials, food services, telephone, time schedules, etc.)
  • Initiate appropriate fiscal and personnel transactions in keeping with approved plans and established procedures.
  • Establish and maintain personal information and record file for each participating student.
  • Maintain a safe and secure environment and administer appropriate disciplinary procedures.
  • Coordinate and manage staff training and orientation activities at the site for all subordinate staff and community resource personnel servicing after-school students.
  • Manage and prepare appropriate data collection, record-keeping, and reporting functions of the program.
  • Write up and distribute a monthly site newsletter for parents and contribute to Kama'aina Kids' bulletin when requested.
  • In my duties as a site coordinator I will be responsible for assisting the Schoolage Managers and district director in planning, preparation and participating in Expos as assigned. --
    B. Enrichment Program - The goal of the Enrichment Program is to offer a variety of extracurricular activities to children (i.e. karate, kayaking, swimming, dance, etc.) so that they might find an area of special interest or success and so build their character and self-esteem. This program is set up within the structure of the A+ Program and assists parents by transporting their children to these different activities and at the same time reduces the student to staff ratio at the A+ site. Van transportation is made available for each complex.
    The Site Coordinator, in reference to the Enrichment Program, would be responsible for assisting in directing, supervising, evaluating and promoting/selling the Enrichment Program at his/her site. His/her specific duties may include, but are not limited to the following:
  • Approach school administration about use of school facilities in which to conduct Enrichment classes when necessary.
  • Ensure that students coming from other schools for Enrichment classes are received and directed to the class location and are supervised at all times.
  • Organize students leaving the A+ site and ensure that they have safely boarded the van (or other transportation) going to Enrichment classes.
  • Receive students returning from Enrichment activities and ensure that they report back to their assigned group leader.
  • Hand out registration forms to Group Leaders to pass out to students and parents. Post flyers regarding Enrichment in visible areas.
  • Talk to parents and students and encourage them to sign up for Enrichment classes.
  • Talk to Group Leaders about the benefits (for themselves and for the children) of the Enrichment Program and encourage them to sell it to the parents and children.
  • Collect moneys & registration forms from parents, keep a roster of enrolled students, and turn in to the District Director.
  • Allow PUC certified staff to drive vans for the Enrichment Program and rearrange groups accordingly (if necessary) --
    C. Holiday Care Programs (1-2 Day) - To serve the needs of children whose parents work on public school holidays, Kama'aina Kids conducts Holiday Care programs. Depending on the number of families that need this service, Holiday Care Programs may be held at just one or at all of the schools in the complex. The students to staff ratio at these programs should not exceed 15 to 1. Transportation is made available for these programs and excursions or outings may be planned for these days.
    The Site Coordinator, in reference to the Holiday Care Program, would be responsible for planning, directing, staffing and evaluating two or more Holiday Care Programs at a designated site during the nine-month contract. His/her specific duties may include, but are not limited to the following:
  • When assigned to run a Holiday Care Program:
  • Reserve school facilities for the Holiday Care Program.
  • Hire appropriate number of staff to work for the program.
  • Plan an excursion or other activities for the program.
  • Be on site and provide overall direction and supervision of Group Leaders.
  • Maintain a safe and secure environment and administer appropriate disciplinary procedures.
  • Fill out Holiday Care Evaluation Form and turn in to District Director.
  • For all Holiday Care Programs:
  • Post flyers about Holiday Care in visible areas.
  • Hand out registration forms and collect forms and monies from interested parents. Keep a roster of enrollment.
  • Ensure that Group Leaders are communicating with parents regarding the availability of Holiday Care. --
    D. Communications - Site Coordinators must maintain an effective communication system with school personnel, subordinate staff, parents, prospective and participating students, District Director, appropriate DOE offices, etc. so that appropriate and vital information will be dispersed in a timely fashion.
    E. Basic Financial Management - Site Coordinators must stay within a prescribed budget as designed by District Director.
    F. Winter, Spring, Summer Break Programs - These programs are conducted on the public school breaks and are designed to enrich and educate children in areas that will encourage self, community, global, and environmental (ocean, mountain, city, country, etc.) awareness. The student to staff ratio in these program should not exceed 15 to l. These program may be conducted at one or more sites in each complex depending on space and need. Transportation will be made available for these programs either in the form of company vans or rented buses.
    The Site Coordinator, in reference to these programs, is responsible for helping to advertise and sell these programs at his/her site. His/her duties may include but are not limited to the following:
  • Pass out program flyers/registration forms to Group Leaders to give to parents and students.
  • Communicate with parents and students the uniqueness and value of the programs offered. Encourage them to enroll in the programs. Motivate Group Leaders to do the same.
  • Be aware of and follow registration procedures that will be set up for each program. --
    G. Other related duties as required
    A. Winter, Spring, Summer Break Programs - A Site Coordinator who opts and is hired to direct one or more of these programs, will be paid a salary in addition to their nine-month contract salary. This salary will be determined by the Vice President in charge of the School Age Division, Day Camp Director, and School Age Manager. The Site Coordinator would be responsible for directing, supervising and evaluating one or more of these programs. His/her specific duties may include but are not limited to the following:
  • Serve as a positive role model and appropriate example for program staff and children.
  • Meet with program staff and Day Camp Director/School Age Manager regarding program procedures, curriculum, activities and excursions, and staff work schedules.
  • Create and implement daily schedules for program staff, which will include individual staff responsibilities, starting times and duration for different activities, expectations of program staff during different activities, and transitions times.
  • Be on site daily and provide overall direction and supervision of program staff.
  • Guide program staff in planning, implementing, coordinating and evaluating daily activities.
  • Provide on-site and individual training and support for program staff.
  • Conduct weekly meeting with program staff, and any emergency meetings as deemed necessary by the Site Coordinator, School Age Manager, or Day Camp Director.
  • Periodically evaluate the performance of individual staff members, and provide appropriate feedback and follow-ups, including written evaluations.
  • Establish and maintain communication with parents, staff, administration, and School Age Manager regarding any problems or changes in scheduling.
  • Establish and maintain personal information and record file for each participating student and staff member, including Health History forms for all camp participants.
  • Maintain a safe and secure environment and administer appropriate disciplinary procedures.
  • Fill out appropriate evaluation forms at the end of the program and turn in to the School Age Manager.
  • Return all paperwork and equipment, to the proper administrators, at the conclusion of the program. --
    The position performs under the general direction of the School Administrator, Kama'aina Kids District Director and President. The position works closely with the A+ After School Program District Coordinator on program matters. The duties and responsibilities are carried out with considerable independence and authority in administering and managing the ongoing program within prescribed policies and objectives.
    A. Education and Experience: Graduation from an accredited college or university with a major in education or related field AND /OR a minimum of three years of progressively responsible work experience in educating students.
    B. Knowledge of:
  • Principles and practices of school management;
  • Principles and practices of supervision;
  • Educational principles and learning theories;
  • Principles and practices of counseling;
  • Principles and practices of public relations and budget preparation;
  • Principles and practices of staff development and training. --
    C. Ability to:
  • Plan, organize, coordinate, implement and promote after-school program and activities;
  • Develop, supervise and train subordinates;
  • Formulate policies and procedures;
  • Issue oral and written instructions and directives and insure that they are carried out properly;
  • Obtain and evaluate facts;
  • Keep records, write clear and concise reports;
  • Deal effectively with the public, cooperating agencies, subordinate employees, students demonstrate qualities of leadership;
  • Organize and instruct groups of children;
  • Inspire confidence and enthusiasm of groups and individuals and encourage them in group participation;
  • Understand and follow oral and written instructions;
  • Be receptive to suggestions or concepts;
  • Take new ideas, suggestions or concepts, develop and implement them;
  • Be flexible to change. --
    D. Essential Functions:
  • Able to assist children and staff in emergency (fire, injury, etc.);
  • Observe loading and unloading of buses;
  • Possess strength and endurance required to maintain constant supervision of staff and children.;
  • Able to professionally resolve conflicts and customer concerns;
  • Able to assess emergency situations and make the necessary decisions in such situations (call 911, perform CPR/First Aid, etc.)
  • Able to pass a criminal background check and fingerprinting clearance. --
    E. Physical and Medical Requirements
  • Applicants must be physically able to perform efficiently and effectively the essential duties of the position which typically require the ability to read without strain printed material the size of typewritten characters, glasses permitted.
  • Must have the ability to hear the conversational voice, with or without a hearing aid or the ability to compensate satisfactorily.
  • Must have the ability to lift 40 lb.
  • Must be physically fit to teach, supervise and participate with school aged children in sports and other activities that may require running, jumping, bending and squatting; ability to stand for (4) four hours, if necessary to the activity being presented. --
