*This role is based in our Honolulu office and candidates must live on Oahu and come in to the office M-F 8a-5p HST.*

We're looking for a Payroll Distribution Coordinator -to join our team. This individual will be responsible for the timely printing and distribution of paychecks and other mailings to our clients and their employees. We are looking for a candidate that is a hard-working, self-starter and who posses strong organizational skills. The ideal candidate will have excellent oral and written communication skills and working knowledge of MS Office. -This is a full-time position reporting to our offices in downtown Honolulu Monday-Friday 8a-5p HST. -WHAT'S IN IT FOR YOU? -Makai HR is a start-up company.   • 2+ years of office administrative experience required
  • Ability to meet critical deadlines and move at a fast-pace
  • Ability to follow detailed written and verbal instructions -
  • Ability to work M-F 8a-5p Hawaii Time in our downtown Honolulu office (This is not a remote position) -

  • Must be able to frequently move boxes weighing up to 25 pounds across the office for various needs
  • Must be able to leave office during the day to take packages to post office, FedEx drop boxes, and downtown client locations
  • Must be able to adapt to evolving role, and to take on new challenges as they become delegated to the position

  • Detail oriented, self-sufficient and creative problem solverPreferred:
    • 1+ year of payroll experience -WHAT YOUR DAY TO DAY MIGHT LOOK LIKE: -
      • Paycheck Distribution: -
        • Primary duties will include folding checks and stuffing envelopes manual and with stuffing machine. -
        • You will follow each client's specific mailing instructions correctly and pay close attention to mail pick up times to ensure paychecks are received on time. -Some clients have multiple locations. For clients with multiple locations having checks sent to their offices, their paychecks will need to be separated by location. -
        • Most clients have their employees' paychecks mailed out directly to them. For these clients you will need to run the checks through the Pitney Bowes stamping machine. -
        • Other clients have their employees' paychecks mailed out to their office main location either via FedEx or XPS shipping. For these clients, you will need to sort, package and print -mailing -labels. You will also need to ensure that the paycheck packages are mailed by vendor cut-off times. - -
        • A handful of clients will pick up their checks in the office or via courier service. For pick up, checks will need to be stuffed into envelopes and then into a labeled manilla envelope for pick up. -
        • Communicate verbally, via email and text with clients and their employees to answer questions about paycheck distribution. - - -COBRA Letters: -
          • You will be responsible for printing/mailing out COBRA letters for employees whose benefits have been terminated. - -
          • For COBRA letters, you will print employees COBRA forms -off files in Sharepoint -folder, -stuff -into an envelope, and weigh them on the Pitney Bowes machine for proper postage. -
